Appointment Cancellation and Rescheduling Policy
Last updated: July 13, 2026
This policy explains how Homeopathic Humanity Health Care handles appointment confirmations, cancellations, rescheduling, late arrival, missed appointments and advance payments.
The clinic must confirm the values shown as placeholders before publication.
1. Appointment confirmation
An appointment is confirmed only when the clinic communicates an accepted date and time by phone, WhatsApp or another official channel.
Submitting a website form or sending a WhatsApp message is an appointment request, not automatic confirmation.
2. How to cancel or reschedule
Contact the clinic using:
- Phone or WhatsApp: +91 70045 94307
- Email: +91 70045 94307
Provide:
- Patient name
- Confirmed appointment date and time
- Doctor name, if known
- Whether you want to cancel or reschedule
Do not include unnecessary medical details in a cancellation message.
3. Notice period
Please cancel or reschedule at least 24 hours before the appointment.
This gives the clinic a reasonable opportunity to offer the slot to another patient.
4. Rescheduling with sufficient notice
When the clinic receives notice before the stated deadline:
- The appointment may be moved to an available slot.
- Any eligible advance consultation fee may be transferred to the new appointment.
- A transferred payment may be used only within the period stated by the clinic.
- A new date depends on doctor availability.
Clinic-approved transfer-validity period: 7 days from the original appointment date, subject to clinic confirmation
5. Late cancellation
A cancellation received after the notice deadline is a late cancellation.
Where an advance booking or consultation fee was paid, the clinic’s approved rule is:
Late cancellation may require booking a new appointment slot, depending on doctor availability and clinic confirmation.
Recommended options for the clinic to choose from before publication:
- Transfer the payment once as a goodwill exception.
- Deduct a stated administrative or reserved-time amount and refund the balance.
- Treat a stated booking fee as non-refundable while refunding any unearned balance.
- Waive the rule for a documented emergency at the clinic’s reasonable discretion.
The live policy must use one clear rule and must not display multiple alternatives.
6. Missed appointment or no-show
A no-show occurs when a patient does not attend or join the consultation and has not cancelled within the required time.
Clinic-approved no-show rule: If a patient does not attend without informing the clinic, any rescheduling or fee adjustment will depend on clinic confirmation.
The clinic may ask a patient with repeated no-shows to pay an advance booking fee before reserving another slot, provided this is disclosed before booking.
7. Late arrival
If a patient arrives or joins late:
- The clinic may provide the remaining available time.
- The appointment may need to be moved to avoid delaying other patients.
- A shortened appointment may be clinically inappropriate, in which case rescheduling may be required.
- The fee or credit rule should be explained before rescheduling.
Patients should call if they expect to be late.
8. Online consultation
For an online consultation:
- The patient should be available at the confirmed time.
- The patient should have a working phone or internet connection.
- If the doctor cannot safely assess the concern remotely, an in-person visit or referral may be advised.
- Technical failure should be handled reasonably after checking which party’s system failed.
Clinic-approved technical-failure rule: If an online consultation cannot proceed because of a technical issue, the clinic will help reschedule where reasonably possible.
Recommended wording:
9. Cancellation by the clinic
The clinic may cancel or reschedule because of:
- Doctor illness or emergency
- Unexpected patient-care demands
- Power, internet or facility failure
- Safety concerns
- Events beyond reasonable control
When the clinic cancels before providing the service, the patient may choose:
- The next reasonable available appointment, or
- A refund of an eligible advance consultation payment
10. Refund eligibility
A refund may apply when:
- The clinic cancels and cannot offer a suitable alternative.
- The patient cancels within the published notice period and the policy allows a refund.
- An accidental duplicate payment is verified.
- The clinic is unable to provide a paid online consultation.
A refund may not apply to:
- A consultation already completed
- A missed appointment where the published no-show rule applies
- A non-refundable booking component clearly disclosed before payment
- External payment or service charges that the clinic did not receive, where lawful
- Medicines already prepared or dispensed, except where supplied incorrectly, defective or otherwise refundable under applicable law
11. Refund method and timing
Approved refunds should normally be sent to the original payment method where practical.
Target processing period: 5 to 7 business days business days after approval.
A bank, UPI provider or payment service may take additional time to display the credit.
12. Medical emergencies and exceptional circumstances
The clinic may reasonably consider exceptions for a medical emergency, bereavement, severe weather, transport disruption or another exceptional event.
A patient should not delay emergency care to avoid a cancellation charge.
The clinic may request limited supporting information but should not collect unnecessary sensitive details.
13. Medicine collection or delivery
An appointment cancellation does not automatically cancel medicine preparation or delivery.
If the clinic supplies medicines, it should disclose before payment:
- Medicine price
- Delivery charge
- Dispatch time
- Cancellation point
- Return or replacement rule
- Handling of damaged, incorrect or defective items
Do not publish a medicine-delivery policy unless the clinic actually provides that service.
14. Fair use
This policy should be applied consistently and respectfully. Patients may ask for an explanation of any retained fee or denied refund.
Nothing in this policy limits rights available under applicable Indian consumer law.
